If you’re looking for super effective tips on how to plan your week, make sure to read this post until the end. Today I’m going to show you how to plan your week to be productive and tick off every single item on your to-do list without feeling overwhelmed.

The tips I’m about to show you are extremely simple to follow and, trust me, they can have a HUGE impact on your weekly planning.

How To Plan Your Week

Know your priorities when doing your weekly planning

Before you start planning, it’s crucial that you know exactly what needs to be done throughout the week.

That includes habits, work, study time, home-related tasks, etc. This way you won’t forget anything essential or not have the time to do them.

Even if it’s a small task like putting away the laundry, jot it down. Anything you can think of should be written down so you can’t forget it.

Don’t overschedule

Focus on quality and not quantity. Don’t try to stretch your day and make it 48 hours when it only has 24 hours. Respect your own limits.

My advice would be to focus on a maximum of 3 big tasks each day. Start with the most important one and once, and only once, that is done, move on to the next one.

Include self-care and non-essential tasks

Self-care is just as important as other work-related of home-related tasks.

That means it should be included in your weekly planning. No more of that “I don’t have time for me” bull.

Be flexible

Is your weekly planning not going as you hoped? That’s completely fine.

Unexpected things happen and there is absolutely nothing you can do about it. Don’t blame yourself for it and have the flexibility to change and adapt.

Can’t do this task today? That’s fine, do it tomorrow.

If you notice that this continues to happen and the task keeps getting pushed back, it’s time to make it smaller. Break the task down into smaller, more doable tasks.

What works for me might not work for you

Forget about what other people do. Your life isn’t that YouTuber’s life so the way they plan their week (whether that be the type of planner they use, the app they use, or the time they allocate to do a certain task) probably won’t work for you.

Let me give you an example. I tried using Notion as my daily planner after I saw people like MuchelleB do it but I quickly realized that did not work for me and my lifestyle.

I still love Notion and use it for a ton of stuff (like my content planning), just not daily planning.

So I went back to what I knew worked for me: using a daily paper planner. And I’m a lot more productive this way.

Planning is supposed to be freeing, not restrictive

If you ever find yourself stuck with your planning, it’s time to re-evaluate.

Planning brings you the freedom of having the time to do the things you love and if that is not happening, something is wrong.

If planning is causing you to become anxious, stressed, and restricted, you need to sit down and restructure everything. Keep all of the steps I talked about above in mind when you do this.

Planning your week in advance is such a simple, yet so life-changing thing! It might seem like I’m exaggerating, but trust me, I’m not.

Continue reading to find you just how to plan your week to be your most productive self!

HOW TO PLAN YOUR WEEK TO BE PRODUCTIVE

REVIEW YOUR PREVIOUS WEEK

Before your start planning next week, you should always review the previous one. This simple step will help you realize a lot of things like what are the best times for you to work on high energy tasks, when you’re on a slump and what things you did that didn’t contribute to your goals.

Here are a few questions you can ask yourself when reviewing your week:

  • What worked this week and what didn’t?
  • What tasks weren’t completed?
  • How much did I progress on my projects and goals?

I’ve been doing a weekly review for almost a year now. It takes about half and hour to an hour on Sundays and it makes a huge difference on my week. I’ve noticed when I don’t do a weekly review, my week doesn’t flow as well as it should.

My Weekly Review

My weekly review consists of 5 easy steps that I follow religously.

  • Clear out my emails – inbox zero is the best feeling
  • Clear my inbox – I have a page on Notion called ‘inbox’ where I write random notes, save resources and just dump everything throughout the week.
  • Check my Google Calendar – I check if there are any events or appointments and add the ones that aren’t there.
  • Braindump tasks
  • Distribute tasks thoughout the week

BRAINDUMP

This is my favorite part: braindumping all the things on your head. Get it all out!

Grab a notebook, a piece of paper, or your favorite productivity app, write down all the things on your mind- tasks, projects, reminders, and just anything that pops into your head.

If you think that might be hard for you, I would advise you to put together a braindump trigger list. I learned this tip from MuchelleB and it seriously changed my brain dumping game. When I can’t remember anything, I take a look at my list and a ton of things pop up in my head.

A few things you can include in your trigger list are:

  • articles to check out
  • someone you need to call
  • bills to pay
  • sationery to buy
  • things to repair

Once you’ve written down everything in your mind you need to divide things into categories. Label your tasks by context so you can batch them. I’ve talked about this in my previous post about time management tips for bloggers: batching similar tasks keeps you focused and motivated.

Some labels you can use are:

  • Home (things to do at home)
  • Errands (things to do when you’re out and about)
  • Computer (things to do when you’re at your computer)

Two-minute Tasks

Once that is done, I want you to take a look at the tasks and see if there are any tasks that take less than 2 minutes to complete. If there are, do them now.

For example, you’re written down that you need to change the lightbulb of your desk lamp. Do it. It will literally take one minute and you won’t be thinking about it during the week.

PLAN NEXT WEEK

Distribute tasks through the week

Now it’s time to start planning out your week.

First, grab your brain dump list and distribute those tasks throughout the week. Don’t forget to schedule similar tasks for the same days. Why run errands three days in a row when you can do it all at once?

Once that is done, highlight 2-3 tasks that are the most important in each day. Those are the tasks that need to be completed that day. All others are secondary.

If you’re having trouble deciding which tasks are high priority, ask yourself: “What are the tasks that, if completed, will make me feel like I’ve had a productive day?”.

Time blocking

Time blocking is the act of allocation a portion of your day to a certain task or project. I love doing this for my workouts and study time, because those are the tasks that I don’t really like doing, but having an scheduled slot on my Google Calendar makes me want to do it.

You can use time blocking to understand exactly when you have free time to relax or work on your hobbies.

A few other important tips

  • Always finish the task you’ve started
  • Don’t multitask- that never works
  • Make sure to have time to rest your mind and body

So you want to be a productivity master. But, do you find yourself procrastinating instead of doing all the things on your to-do list? Is that to-do list endless? If the answer to all these questions is yes, then we’re on the same boat.

There are a few things to change that, and today’s post is all about it.

Today I’ll be sharing with you 4 simple things you can do today to improve productivity in your daily life.

De-prioritize urgency

Sometimes we get sucked into tasks that won’t do anything for us.

Ask yourself: “‘What impact will this task have on my in 1-5 years?”. Most tasks won’t have any impact at all, but other will. So when deciding between writing a chapter of your book or re-organizing your family photos by date think about which task has the highest impact on your life in a year or two.

We often prioritize the urgent tasks over the important tasks. Most of the time that happens because the important tasks seem daunting and the urgent tasks make us feel like if we don’t do them right away we’re not being productive and diligent.

A great way to determine which tasks are important and which ones are urgent is to use the Eisenhower Matrix

The Eisenhower Matrix, also referred to as Urgent-Important Matrix, helps you decide on and prioritize tasks by urgency and importance, sorting out less urgent and important tasks which you should either delegate or not do at all.

Do a to-do list audit

When creating your daily to-do list, think about these questions:

  1. How would my perfect day look like?
  2. What was the most important task that if I ticked off would make me feel accomplished?
  3. What were the other 2 to-dos that if I did them would make me feel amazing as well?

That’s the base of your daily planning. You should focus on a maximum of 3 things each that. This will make you feel less overwhelmed with your to-do list.

Think about it: you have a list of three things and you tick all of them off. You feel happy.

Or you have a list of 20 things and you tick off 3. You feel unaccomplished.

Having a smaller list doesn’t mean you’re less productive: it means you know your abilities and know what to focus on each day.

Do a time audit

In order to be productive, you need to know your high-energy times and low-energy times. To do so, write down your times and every hour write down what you’re doing, your energy level, and how engaged you feel in what you’re doing. Now do it for a week.

You’ll start seeing patterns of things in your life. Maybe you’ll find out that you work best after 5 pm and you can’t concentrate between 9 am and 11 am.

Change the way you spend your breaks

Resting well is as important as being productive.

Let me give you an example: you have this big important thing you need to do in the morning but you barely got any sleep the night before. What happens? You:

  1. will have an extremely hard time doing that thing;
  2. will take three hours to do the think that should take only 30 minutes
  3. won’t do the thing at all

You should take resting as seriously as being productive as it all goes hand-in-hand.

If you don’t know how to rest, or how to turn off from work here are a few ideas:

  1. Go outside – even if it’s just to your balcony to get fresh air for a few minutes
  2. Talk to someone – not about work though
  3. Take a long shower
  4. Eat a snack while reading or watching a show
  5. Journal
  6. Give yourself a facial
  7. Cook a meal

How To Get On Top Of Your Sh*t

I think all of us have felt like everything is out of control at some point in our lives. Not being on top of your sh*t feels terrible, not gonna lie. But you know what? Not everyone has their sh*t together all the time, and as silly as it sounds, that’s kinda comforting.

There are gonna be times where you will be able to get everything you want done with time to spae and there are going to be times where the complete opposite is going to happen. Again, completely normal.

For those times though, it’s good to have some sort of system in place so that you know that if things start to get out of hand, you can have the comfort of knowing what to do. Here are 3 simple things you can do to get your sh*t together:

BRAINDUMP 

The first thing you should do when you’re feeling too overwhelmed with life is to braindump. Get yourself a piece of paper, open a word document of the notes on your phone, whatever you prefer, and just start writing down every single thing that comes to your mind. 
 
I know for a fact that having a bunch of things in my head keeps you from being productive and get sh*t done. For example, I’ll start writing a blogpost and then I remember that my literature professor sent me a bunch of documents to print for the next class, and I abandon the blog writing because I’m afraid I’ll forget the documents if I don’t print them now. 
 
Having everything written down means you won’t have to worry about forgetting anything and will be able to tackle one task at a time. Don’t forget to revisit that list regularly and jot things down as soon as they pop into your head. 
 

HAVE A SET TIME FOR THINGS 

Have a set time for them so that when you skip them you know you’ll get back to it next time. It doesn’t matter if you weren’t able to finish that task because you know that there will be a time set for you to complete those tasks the next day or week.

DON’T CREATE DEADLINES FOR LITTLE THINGS 

Deadlines are a great way to keep you accountable for things but you shouldn’t have a deadline for every single task on your list. This should be reserved for those really important tasks, like for example a school essay. Going to the mall to buy a skirt does not need to have a deadline. That will only stress you out a lot more. Those kinds of things should be done when you can, not on a certain day and time.

There are two types of people in the world: those who set up a super detailed schedule to follow and do it to a T and those who also set up a super detailed schedule but end up doing nothing that’s on it and instead choose to focus on completely random things. This post is for those people.

If you’re someone who just can’t stick to a schedule, no matter how hard you try, your first question is probably ‘Why can’t I just stick to my schedule?’. Well, it most likely doesn’t have anything to do with you personally bu the way you’ve built your schedule. Maybe you’re not a morning person so those huge tasks you’ve scheduled in the morning should be moved to the afternoon since you’re much more likely to just lay in bed than do them. Little changes like that can make a huge difference in your productivity.

Here are a few ways you can stick to your schedule and follow through with the things you set yourself up to do.

HOW TO STICK TO YOUR SCHEDULE

SCHEDULE IMPORTANT THINGS FIRST

When creating your schedule, high-priority tasks, or non-negotiables, should be the first things you schedule in. Make sure you schedule them at times where you know you’re most likely to do them. Like I mentioned above, if you’re not a morning person, for example, don’t schedule those tasks early in the morning. 

 Once those are scheduled, you can start scheduling the other tasks you’d like to accomplish that week. Keep in mind that you shouldn’t schedule things one after the other as it’s very likely you’ll end up not doing them. Scheduling in breaks and as important as scheduling in actual tasks. 

ELIMINATE AS MUCH FRICTION BETWEEN YOU AND A TASK AS POSSIBLE 

Let’s say you’ve scheduled in some time to exercise but you never do it. Maybe that’s because of lack of motivation- I have a whole blogpost about what to do when you’re not feeling motivated- or maybe it’s because you start thinking about.

All the work that you’ll have to put in just to set your space so that you can exercise. This is a fairly easy thing to resolve: have your workout gear somewhere easily accessible, and preferably somewhere you can see it often so that you’ll be reminded to workout. 

The same goes for non-physical tasks. If you’ve scheduled in a blogpost writing session, have a little template of all the steps it takes for you to write those posts. That way you will not be stumbling around confused and not knowing where to start and what to do.
